The XL1 platform is a cloud-based School ERP system used by educational institutions (schools) to manage students, attendance, fees, communication, and academic records.

This policy applies to:

• XL1 mobile application (Android and iOS) — package in.xcellsoftware.school
• Web portals operated for subscribing schools
• All related APIs and services

This is the official privacy policy URL submitted for the Google Play Store and Apple App Store.

The school (educational institution) you are enrolled with is the Data Fiduciary — they decide what data is collected and why.

XCELL1 Software Solutions Pvt Ltd is the Data Processor — we process data only on behalf of and under instructions from the school.

This distinction is governed by a Data Processing Agreement (DPA) between XCELL1 and each school, under the Digital Personal Data Protection Act 2023 (India).

On behalf of subscribing schools, we process:

• Account data: name, email, phone, role (parent, student, teacher, staff, admin)
• Student records: attendance, fees, marks, circulars, academic records
• Parent/guardian data: name, phone, email, relationship to student
• Staff data: name, contact details, salary references, attendance
• Communication data: SMS logs, notifications, in-app messages
• Device and session data: login tokens, technical logs for security
• Location (teachers only): for attendance check-in verification. Not tracked in background.
• Uploaded files: admission documents, profile photos, HR documents

Data is used solely to provide school management services including:

• Student enrollment and academic records
• Attendance tracking and reporting
• Fee management and payment processing
• Parent-school communication
• Platform security and audit logging

We do not sell personal data. We do not use school data for advertising.

We engage the following service providers:

• Amazon Web Services (AWS) — cloud hosting, India region (ap-south-1)
• Brevo (formerly Sendinblue) — email delivery
• SMS provider — OTP and notifications
• Payment gateway — fee collection (where enabled)

All sub-processors are bound by data processing agreements.

• Student and academic data: duration of enrollment + 3 years
• Fee and payment records: 7 years (GST compliance)
• Communication logs: 12 months
• Account deletion: data permanently deleted within 7 days of a verified deletion request

Under the DPDP Act 2023, you have the right to:

• Access your personal data
• Correct inaccurate data
• Request erasure (account deletion)
• Withdraw consent
• Grievance redressal

Parents and users can request account deletion through the app (Profile → Request account deletion) or by contacting the school. Data is permanently deleted within 7 days of the request.

• Passwords stored using bcrypt hashing

The platform processes data of minors (students below 18 years) on behalf of schools. Heightened protections apply under the DPDP Act 2023. Student data is not used for profiling, advertising, or any purpose beyond school operations.

• Location: teacher attendance check-in only
• Camera/Photos: document and profile uploads
• Notifications: school updates and alerts

This policy is governed by the laws of India. Disputes are subject to the jurisdiction of courts in Chennai, Tamil Nadu.

We may update this policy. The “Last updated” date will reflect changes. Continued use constitutes acceptance.
